Preview Portal Instructions
Video and caption files will be directly uploaded by you to the portal, using the following specifications, when the portal is ready for the beta launch. You will be asked to provide your files in both formats as listed below.
Video/Caption Specifications
For 4x3 content:
400 kbps, 320x240, h.264, hinted for streaming, mp4 video
800 kbps, 640x480, h.264, hinted for streaming, mp4 video
For 16x9 content:
400 kbps, 320x180, h.264, hinted for streaming, mp4 video
800 kbps, 640x360, h.264, hinted for streaming, mp4 video
Captions in the timed text .xml format
Thumbnail Images for previews will also be needed. The specs for the images are listed below:
- Images may be either JPG or PNG files
- Uploaded images will be resized to 320 pixels wide with a proportionally height.
- Optimal image size is 320 x 240 pixels, but any 4:3 ratio is acceptable such as 400x300, 240x180, etc.
Each EP will be able to add up to 15 programs or clips; each individual program or clip can be up to 15 minutes in duration, for a maximum of 225 minutes of content per EP, free of charge.
Metadata
You will need to create the metadata required for each of your submissions. Fill out the Excel spreadsheet, found here, to upload metadata onto the portal. Additional samples of the data and explanation are provided below.
Title Metadata Tips:
- If a row is missing the title and subject it will be ignored.
- Please, do NOT insert rows or columns. Doing so will invalidate the spreadsheet and uploading and import will be impossible.
- If you hover (or scroll) your mouse over the column headings, you can see what the field requirements are.
- As the portal processes each line from your metadata sheet, it checks them one by one. If it finds that any information is invalid, it will not import any of the titles, but will instead highlight each invalid cell. It is then emailed back to you with a list of the errors that were found. You must then correct each of them, and resubmit the whole spreadsheet.
Title Metadata Guidelines:
- Title or Series Name - Alpha/Numeric rich text field* with a 100 character limit. (Example: The Greatest Program Ever)
- Subject –Select the subject categories from a pre-defined dropdown list ** (i.e.: the closest match, if it is a Science program, you may select Science, Biology rather than just Science)
- Short Description – Alpha/Numeric text field* with a 300 character limit. This is a very short description; you will be able to expand as much as you like with the Full Description.
- Full Description – Alpha/Numeric text field* with no character limit.
- Keywords – Alpha/Numeric rich text fields* for up to 15 specific keywords; 25 character limit for each keyword; please use spaces to separate keywords, no commas or other special characters.
- Producer – Single Alpha/Numeric rich text field* with a 200 character limit (Exp: Distributor/Producer)
- Grade Range – The user will see a drop-down with a pre-defined list of grade ranges. Primary: PreK-2, Intermediate: 3-5, Middle: 6-8, High: 9-12, Post Sec.: 13-16, Adult. You will need to mark a Y or N for each grade level that is applicable.
- Language – Please select an option from the drop-down list; English is the default. Other options are; Arabic, Chinese, French, German, Italian, Polish, Portuguese, Russian, Spanish, and so on.
- Subtitled – Please select an option using a Y or N option.
- Copyright Year – Numeric field requiring 4 digits. (Example: 2012)
- Run Time – Numeric text field with HH:MM:SS format. Example: A 30-minute program is entered as 00:30:00.
- Captioned – You will need to enter a Y or N. If you additional options available for your titles, you can note them in the Notes field.
- Formats Available – You will need to enter a Y or N for each of the following that are available: DVD, Streaming, Download, VHS, and 16mm.
- Title/Series URL– Alpha/Numeric rich text field* for title/series URL on EPs website. (Example: www.nmm.net)
- Series Title - Alpha/Numeric rich text field* with a 100 character limit. (Example: The Greatest Series Ever)
- Number of Parts in Series – This is the total number of programs in the entire series, numeric input up to 3 digits. Example: 26
- Digital Chapters Available? – You will need to enter a Y or N.
- MARC Records? - You will need to enter a Y or N.
- Aligned to Common Core Standards? - You will need to enter a Y or N.
- Study Guide? – You will need to enter a Y or N.
- Transcripts? - You will need to enter a Y or N.
- Color/ B&W (Black-and-White) – You will need to enter a Y or N.
- Rights Available- Digital, Duplication, and ITV - You will need to enter a Y or N for each.
- Awards Detail – Alpha/Numeric rich text field * with a 500 character limit.
- Title Notes – Alpha/Numeric rich text field* with a 500 character limit (this field is not searchable and can be used for updates of other information)
